KEY TAKEAWAYS

  • Every e-khata application needs proof of ownership, proof of the property's identity, tax status and the owner's identity with Aadhaar e-KYC.
  • Apartments need the occupancy certificate and a unit-wise record; plots and houses need the conversion order and approved plan or layout.
  • Upload clear, complete scans, with all pages and readable stamps. Partial or blurry documents are the most common reason for rejection.
  • Names, areas and property IDs must match across documents.
  • Keep a digital folder of all of these. You will need them again for sale, loans and transfers.

If you have just bought or built your first property in Bengaluru, getting the khata in your name is one of the first things to do. The e-khata process is now online through e-Aasthi, which is faster when your documents are in order and frustrating when they are not.

This checklist sets out what you need for each property type, why each document matters, and the small mistakes that cause applications to be returned.

Core Documents for Every Property

DocumentWhat it proves
Registered sale deed or title deedThat you own the property
Latest property tax receiptThat taxes are paid and the property is assessed
Encumbrance certificateThe registered transaction history, including your purchase
Owner's Aadhaar (for e-KYC) and IDYour identity; all owners need to complete e-KYC
Property photographsCurrent photos of the property, as required by the portal
Previous khata or e-khata (if any)The existing civic record for the property

Additional Documents for Apartments

  • Occupancy certificate for the building, issued by the planning authority.
  • Approved building plan showing your unit.
  • Unit-wise khata details: if the building's khata has not been split into individual flats, this needs to happen, usually through the developer or association.
  • Agreement for sale and allotment letter, which some applications ask for to confirm your unit's details.

Additional Documents for Independent Houses

  • Approved building plan and, where applicable, the occupancy or completion certificate.
  • Land conversion order if the land was agricultural.
  • Approved layout plan showing your site, if the house is in a layout.
  • Electricity bill or similar address proof, if asked.

Additional Documents for Vacant Plots

  • Land conversion order from agricultural to residential use.
  • Approved layout plan from the right planning authority, showing your plot number.
  • Release letter or relinquishment deed for civic amenity and road areas, where the layout required it.
  • Survey sketch showing the plot's boundaries.

If You Are Not the Original Owner

If you bought a resale property, you need the seller's e-khata as well, and the documents above. If the property came to you through inheritance, you need the death certificate of the previous owner, a legal heir certificate or succession document, and consent from other heirs where relevant. Gifts and partitions need the registered gift deed or partition deed.

Mistakes That Get Applications Returned

  1. Partial scans: a sale deed missing pages, or a stamp that cannot be read.
  2. Mismatched names: the spelling on Aadhaar differs from the sale deed. Fix it before applying, or add an affidavit.
  3. Mismatched areas: the area on the tax record differs from the deed.
  4. Wrong property ID: entering the building's ID instead of your unit's.
  5. Not all owners completing e-KYC: joint owners each need to complete it.
  6. Outstanding tax: arrears must be paid first.
  7. Files too large or in the wrong format: the portal sets limits on size and type.

Draft vs Final E-Khata

Many properties already have a draft e-khata generated from old records. A draft is not enough to register a sale. Completing the steps above, including e-KYC and document upload, converts it to a final e-khata. Our e-khata guide explains the difference in more detail.

Keep a Property Folder

Create a folder, physical and digital, with every document above, the final e-khata, tax receipts for each year and the EC. You will need the same set for a loan, a sale, a khata transfer or a dispute, and it is much harder to assemble in a hurry.

Frequently Asked Questions

What documents are needed for e-khata in Bangalore?

The registered sale deed, latest tax receipt, encumbrance certificate, Aadhaar of all owners for e-KYC, property photos, and the existing khata if any. Apartments also need the occupancy certificate; plots need the conversion order and approved layout.

Do all joint owners need to complete Aadhaar e-KYC?

Yes. Each owner on the record needs to complete e-KYC for the final e-khata.

Is the occupancy certificate needed for a flat's khata?

It is commonly required for apartments, as it confirms the building is complete and approved for occupation.

What if my name is spelt differently on Aadhaar and the sale deed?

Fix the mismatch before applying where possible, or support the application with an affidavit and ID documents. Mismatches are a common reason for rejection.

How long is the encumbrance certificate needed for?

Requirements vary, but a long period is wise for your own records. Many guides cite at least 13 years for khata applications; for due diligence when buying, 30 years is better.

A complete, consistent set of documents is what makes the e-khata process quick. If you would rather we prepared and filed it for you, see our liaison and approvals service or message me on WhatsApp.
